AI & automated workflows notice

Provisional draft · 2026-10-17-draft-1 · 17 October 2026

1. AI-assisted work

Enabled AI functions can turn incoming tasks into review-ready work orders and assist survey writing from submitted information. Outputs can be incomplete or wrong; they are drafts, not professional advice, diagnosis or certification.

2. Human responsibility

Review factual details, recipients, scope, dates and safety conclusions before approval or sending. Obtain appropriate professional advice for legal, payroll, employment, medical, engineering and safety decisions. Your organisation remains responsible for approved outputs.

3. Automated events

Saved assignments, appointment changes and eligible job transitions can trigger communications to relevant contacts. Event handling aims to avoid duplicates, but delivery depends on configured channels and provider availability. A deadline is not an appointment. Check saved schedules, contacts and templates.

4. Data and permissions

Use only information needed for the task and permitted for the AI provider. Do not input credentials or unnecessary sensitive information. Licence, module and individual access controls still apply; acknowledgement never grants a module or integration.

5. Provider review

Provider identity, subprocessors, retention, training terms and transfer safeguards require confirmation for your deployment. Enable connected services only after the relevant authorisation. This provisional notice is not a certification of regulatory compliance.
